Overview of position

Administration Officer (AO) – Remote / Home Working.

Role objectives

Coordinate the daily tasks as instructed by the HHR regarding the Contractors requests.  
Ensure the contract systems are maintained and presented to the HHR and HSS, whilst highlighting any issues or concerns.

 

  • Maintain a Contractors Summary Workbook of the Project, include any transfers between locations.

  • Ensure the P-Files for all Contractors remain up to date to include in-date medicals and training courses.

  • Ensure travel details are arranged and coordinated.

  • Coordinate the Duty Phone, potentially taking calls out of normal business hours.

  • Maintain a Training Schedule and ensure individual passports are current.

  • Assist with the preparations of entry Visa and other necessary documentation for Country of travel.

  • Collaborate with the HHR regarding expenses, invoices, and salaries.

  • Assist with the vetting process for coordinating new Contractors.

 

Project reporting


Any other tasks as directed by the Head of HR and Head of Support Services.  

Key competencies

UK Passport holder

No criminal record

Sound knowledge and experience in the admin support with government or security operation.

Experience working as an Admin Officer or similar for a minimum of five years’ experience.

Demonstrated interpersonal communications skills.

Highly developed IT skills for database management, and preparation of reports and presentations

Location - able to travel to London within 2 hours.

Team management

Previous experience working with government contracts.

Experience in producing structured reports.
