Overview of position

CTG is looking at building a talent pool of suitable candidates whose experience match the above TOR's, please note that this role is only being advertised for talent pool building purposes. We are looking at qualified individuals with hands on experience in:

  • Warehouse Assistant / Storekeeper

  • Logistics Assistant

  • Procurement Assistant

  • Supplier Relationship Assistant / Officer

Role objectives

Storekeeper:

  • Ensure that all goods received are carefully counted & registered, any differences in quantity either positive or negative are recorded on our clients portal & sent back to the originator.

  • Responsible for quality control for all goods received, any goods received that are either damaged or incorrect should be registered & reported to immediate supervisor.

  • Responsible to ensure materials returned into stock are properly recorded.

  • Prepare all requests for materials for transfer to other depots & ensure that these are properly packed & sealed.

  • On a quarterly basis, supervise & oversee the actual physical inventories & materials to other locations according to spare parts inventories SOP.

  • Continuously obtain & maintain the latest up to date materials list catalogues, prices list, cross reference & superseded numbers for all operational assets.

  • Implement proper stock management & ensure that all minimum & maximum stock levels are maintained prevent “out of stock” situations occurring.

  • Organize & implement regular internal stock taking & ensure that all stock records are accurate in accordance to auditing practices.

Logistics Assistant:

  • Provide support to logistics operations & activities, following standard processes & facilitating, directly or indirectly, the effective delivery of food assistance to beneficiaries.

  • Support timely ordering & delivery of commodities & supplies to authorised partners & destinations.

  • Support management of logistics vendors’ contracting activities including performance monitoring & measurement.

  • Respond to a variety of technical queries / requests for support, following standard processes & obtaining guidance as required, to ensure timely & accurate resolution of all enquiries with a high standard of client service mind set.

  • Contribute to budget preparation, monitoring & revision for all delivery modalities, ensuring adherence to relevant procedures & in compliance with corporate standards.

  • Assist in monitoring inventory management processes to track trends & account for the inventory status from source to beneficiary.

  • Assist in management of commodity accounting data quality & integrity.

Procurement Assistant:

  • Ensure local procurement procedures are in place, followed in accordance with our clients procurement policy, other related regulations & procedures.

  • Provide support, advice & assistance in procurement of goods / services for the mission.

  • Provision on the best option in local, international markets & optimize purchasing power. 

  • Follow up purchase orders status & keep requester informed of estimated time of delivery or any changes that may affect or modify the pre determined delivery condition.

  • Ensure that warehouse material database is regularly updated based on the actual withdrawal & good receipt.

  • Assist in performing the yearly physical inventory count of assets, as well as physical counts as may be required.

  • Assist in performing physical inspection of assets for the purpose of identifying damages & ensuring that equipment’s are still working during asset turnovers.

  • Assist in follow through actions relevant to damage of assets & / or losses of assets.

Supplier Relationship Assistant / Officer:

  • Provide input on mission requirements, demand planning, procurement plan, cost estimates for budget & acquisition planning.

  • Implement procedures to ensure that requisitions for supplies are properly prepared & reviewed such that they are issued / replenished / allocated to the field in a timely & coordinated manner to ensure reliable flow of supply for the mission.

  • Perform local market search for immediately required goods & services, obtains the same through accepted procurement procedures, gathers relevant documentation for further processing.

  • Assist to implement supply related SOP's including on Receiving & Inspection (R&I), Quality Control (QC) / Quality Analysis (QA), reporting & invoice processing.

  • Supervise the process for monitoring consumption, inventory control, stock checking & write off to ensure security availability & accountability of materials & assets.

  • Provide technical input as required in the development, implementation of supply & service contracts, including in preparing SOW, technical evaluation & presentations to local committee on contracts.

  • Monitoring to track all general supply items held in CWS for planning rotation, lateral shift, demand & supply etc. avoiding holding large stock at any given time.
