Overview of position

Under the direct supervision of the line manager (to be determine by the TPM Service Provider itself), the Operation Assistant will undertake the following duties and responsibilities: 

Role objectives

 

A. Logistical, Administrative and Procurement Support

  • Organize and maintain office maintenance, systems, supplies and documentation.

  • Arrange and/or support the provincial coordinator in arranging travel means for official field visits to TPM staff.

  • Maintain an up-to-date inventory of office supplies and assets.

  • Ensure compliance with HR, administrative, logistical and procurement procedures and support audits or reviews when and where required.

B. Financial Support

  • Manage and/or assist the provincial coordinator in tracking expenses, processing petty cash and compiling supporting documents.

  • Assist the Service Provider’s HQ finance team in collecting, verifying and submitting invoices as well as preparing monthly financial reports.

C. HR Support

  • Manage and/or assist the provincial coordinator in maintaining personnel files and leave records.

  • Support the Service Provider’s HQ HR team in HR related aspects including but not limited to recruitment process and logistics, HR documentations, etc.

Education

  • Bachelor’s degree in business administration, Logistics, Procurement, Management, HR, or related field.

Experience

  • At least 3 years of relevant work experience in administration, procurement, logistics, HR or operation.

Knowledge and skills

  • Strong communication, time management, organizational and multitasking skills.

  • Proficiency in Microsoft Office package (Word, Excel, Outlook, etc).

  • Ability to work independently, maintain confidentiality and meet deadlines. 

Project reporting

Under the direct supervision of the line manager (to be determine by the TPM Service Provider itself).
