Overview of position
  • This vacancy is restricted to internal applicants; only individuals currently employed by UNICEF Pakistan and who have received a unique candidate number via email are eligible to apply.

  • The Logistic & Administrative Support Officer provides dedicated administrative, logistical, training, and capacity-building support to ensure efficient planning and implementation of program activities at provincial, and district levels. The role coordinates meetings, training, events, HR-support matters, vendor engagement, documentation, and operational follow-ups, ensuring smooth and timely delivery of program objectives

  • This position entails spending 40% of the time in the field.

Role objectives

Vendor & Third-Party Coordination (Non-Procurement)

  • Liaise with vendors, service providers, event support teams, and technical contractors for logistical arrangements.

  • Conduct third-party/vendor execution (events, HR etc) validations according to program protocols.

  • Review documentation, HR performance issues, and validation reports and share feedback with Provincial UNICEF team.

  • Coordinate with vendors and UNICEF staff to ensure timely completion of logistical tasks.

Monitoring and Knowledge Management:

  • Develop and implement monitoring and evaluation plans to assess the effectiveness and impact of capacity building, community engagement, logistic distribution and suggest recommendations for improvements to UNICEF team.

  • Contribute to knowledge management by developing and disseminating research outputs, including reports, policy briefs, and academic publications.

  • Contribute to knowledge management by documenting best practices and lessons learned from training activities, community engagement and sharing this information with colleagues and partners to promote continuous improvement in immunization service delivery.

  • Identify and documents best practices from the field level program staff for acknowledgment, appreciation and documentation through monthly bulletin.

  • Support training program evaluation by gathering feedback and analyze the data for training content and quality improvement plan. 

 Stakeholder & Staff Coordination

  • Serve as an administrative coordination point between UNICEF teams and third party.

  • Facilitate clarity of staff TORs, program SOPs, policies, during induction of the new staff and in refresher training.

  • Support HR-related coordination for deployment information, and follow-up of admin related cases.

  • Ensure smooth stakeholder engagement during meetings, training, and field activities.

  • Schedule periodic meetings with the vendors and program stakeholders for handholding, course correction and betterment of program. 

Event & Field Support

  • Provide comprehensive logistic plans to support pre/intra/post campaign phase and share the lesson learnt and challenges with provincial teams.

  • Prepare event checklists, pre-event coordination briefs, and post-event reports.

  • Ensure proper documentation and timely follow-up of all event-related action items.

  • Any other task assigned by the supervisors.

To the:

  • First line Officer: Social & Behavior Change Specialist (UNICEF)

  • Second line Officer:Team Lead (UNICEF)

Key competencies

Qualifications:

  • Bachelor’s or Master’s degree in Education, Training & Development, Business Administration, Public Administration, Social Sciences, or a related field (minimum 16 years of education).

  • 3-4 years of experience in training coordination, capacity building, logistics support, administrative roles, or event management-preferably in development/NGO/UN/public health sectors.

  • Experience coordinating training, workshops, orientations, and multi-stakeholder events.

  • Experience working with vendors, facilitators, trainers, field teams, and multiple stakeholders

Skills:

  • Strong ability to coordinate and manage logistics for trainings, meetings, and events.

  • Excellent documentation skills, including minutes, reports, trackers, and training records.

  • Skilled in coordinating with vendors, trainers, stakeholders, and field teams.

  • Strong organizational skills to manage multiple tasks and deadlines simultaneously.

  • Ability to maintain HR-related logs, attendance sheets, and staff issue trackers with accuracy.

  • Proficiency in MS Office (Word, Excel, PowerPoint) and virtual meeting platforms.

  • Strong interpersonal and communication skills for engaging diverse teams.

  • Ability to work under pressure and respond quickly to logistical challenges.

  • High attention to detail and commitment to maintaining professional standards.

KPIs:

  • ≥90% vendor-supported activities (events, HR support, logistics) completed on time and as per agreed specifications.

  • 100% vendor/third-party validation reports submitted each month as per program protocols.

  • All HR-related performance issues, documentation gaps, and validation findings reviewed and shared with Provincial UNICEF team within agreed time line.

  • ≥90% issues raised with vendors resolved within agreed timelines (as per follow-up tracker).

  • Quarterly M&E plans developed and implemented with documented findings and recommendations shared with UNICEF provincial team.

  • Minimum 1 knowledge product per quarter (report, policy brief, success story, bulletin entry) submitted and disseminated.

  • Monthly compilation of best practices and lessons learned from CE, training, and field operations for program bulletin.

  • 100% trainings supported with feedback data analyzed and summarized into actionable improvement recommendations.

  • At least 2 field insights per month documented and shared for program adaptation and decision-making.

Team management
  • This role has no team management responsibility.
