Overview of position

CTG supports and manages humanitarian projects in fragile and conflict-affected countries around the world. With past performance in 26 countries – from the Middle East, Africa, Europe, Asia and Central and South America – we offer a holistic fabric of project management, implementation and support. Skilled in emergency response to crises such as the Ebola outbreak in West Africa, we can act quickly (crisis response teams can be on the ground in 24 hours) and establish structured operations in high-risk environments. CTG recruits and manages qualified, skilled teams with extensive experience operating in challenging conditions.

Role objectives
  • o   Accountable for managing assigned tasks.

    o   Responsible for production of consultant’s contracts / extensions / amendments & terminations as assigned by AM's as per clients call off contracts or PRFs.

    o   Ensure total client satisfaction with the services being provided.

    o   Delivering invoices & consultants contracts & responsible for collections.

    o   Responsible for ensuring deployment plans, administrative documents, systems & personnel management SOPs are in place & complied with.

    o   Responsible for inclusion of clients (where appropriate) on CTG’s liability insurance & issuance of certificate of coverage.

    o   Continuously monitors clients’ needs & seeks to provide best value to exceed customer expectations.

    o   Responsible for advertising vacancies, downloading CV's & submitting them to the clients.

    o   Strives accuracy & thoroughness in work.

    o   Exhibits willingness to accept new assignments & responsibilities with enthusiasm, is responsible & displays initiative.

    o   Responsible for long listing CV's.

    o   Responsible for time sheet collection (hard copies).

    o   Attending interviews.

    o   Responsible for preparing interview minutes.

    o   New staff induction.

    o   Email / report daily done tasks to AM.

    o   Representing CTG in Ministry of Finance, AISA & Ministry of Labor.

    o   Representing CTG in Ministry of Finance for tax certifications.

    o   Liaison between CTG & AISA on visa & renewal matters.

    o   Representing CTG in Ministry of Labor for tasks assigned.

     

    ·      Client Liaison:

    o   Regularly visit clients or hold remote meetings where in-person is not possible, to provide opportunities for them to discuss any challenges, problems or concerns with how the account is being managed.

    o   Communicate as needed, with client’s HR staff to ensure the smooth running of contracts and agreements.

    o   Travel as needed to different parts of Afghanistan to visit clients’ provincial offices.

    ·      Recruitment and onboarding:

    o   Create requisitions on My CTG;

    o   Advertise vacancies;

    o   Download applicant’s CVs and submit to the clients;

    o   Longlist applicants;

    o   Schedule interviews;

    o   Attend interviews;

    o   Prepare interview minutes;

    o   On-board selected candidates, including fully vetting, collecting all necessary documents;

    o   Support CTG and client objectives of achieving gender parity in staff numbers.

     

    ·      Account Administration

    o   Prepare consultants’ contracts and contract extensions;

    o   Provide notice of non-renewal of contract to consultants;

    o   Share monthly timesheet with clients;

    o   Maintain human resource records on CTG’s dedicated HR database;

    o   Receive consultant time-sheets and support payroll preparation;

    o   Maintain consultant leave records and report to the client;

    o   Work with Account Managers and Senior Account Managers to ensure adherence to and compliance with Afghan Labor Law.

     

    ·      Consultant Management:

    o   Train consultants on the use of MyCTG 2.0.; liaising with the CTG Digital Team as needed;

    o   Daily communication with consultants to answer queries and concerns.

     

    ·      Security and Risk Management

    o   Ensure that the Risk Management Team have all necessary information to keep the consultant tracker up-to-date at all times.

     

    Team Contributions

    ·        Suggest improvements to and strategies for overcoming challenges in the overall CTG-Afghanistan business processes.

    ·        Actively participate in CTG Afghanistan fortnightly Team Meetings.

    ·        Support the management of colleagues’ accounts as required.

    ·       Contribute to team adherence to Covid-19 mitigation measures are adhered in the CTG Afghanistan office, including mask wearing, social distancing, etc.

     

    Business Development

    ·       Look for new business opportunities in Afghanistan.

     

    Marketing and Communications

    ·        Provide any needed marketing and communications information to the Marketing and Communications Team. 

Project reporting

This role reports to the CTG Country Manager & Admin Manager.

Key competencies

- Responsible for collection completed consultants personal files / documents from & filing them. - Ensure that all personal files are complete & up to date. - Responsible for filling & completing renewal & extension application of visa forms. - Responsible for all printing & scanning tasks. - Completion & obtaining of TIN numbers. - Ensure that all records are saved on the office share drive. - Responsible for production of ID cards.

Team management
